Administrative Associate

ABOUT THE POSITION

The Administrative Associate supports IC’s administrative, event, and communication functions.

The Associate plays a critical role in ensuring the efficiency of IC’s operations by supporting the

Executive Director and Director of Business Development, coordinating event logistics, and

coordinating and distributing communications. This full-time position is located at IC

headquarters in Durham, NC. The Administrative Associate reports to the Director of Business

Development.

 

PRIMARY DUTIES AND RESPONSIBILITIES

Administrative support

• Enter new contacts and update contact records in Salesforce (CRM) and Constant Contact

(e-marketing platform) in an accurate and timely manner

• Assist Directors with program administrative and reporting tasks

• Track key affiliate groups and upcoming events

• Provide phone and email message triage for the Executive Director and Director of

Business Development

• Provide calendaring support for the Executive Director and Director of Business

Development

Event support

• Work with the Director of Business Development and IC team to produce efficient and

successful national and local IC events

• Coordinate event logistics with event host organizations

• Create and manage event registration, including creation of registration pages, registration

monitoring and reminders, registration list and nametag production

• Coordinate production of event program booklets and agendas, including gathering

content, layout, editing and working with the printer

• Coordinate internal event logistics, including event overviews for the team, supplies and

general coordination and support from pre- to post-event

• Enter and/or update event attendee records in Salesforce (CRM) and Constant Contact (emarketing

platform)

• Attend events to provide logistics support if needed

Communications Support

• Produce and distribute Ideals, the monthly e-newsletter to IC’s membership

• Produce and distribute promotional and follow-up emails for IC events, local meetings, and

programs

• Produce and distribute calls for deals via Constant contact and social media

• Manage and update IC’s website, working with the IC team to refresh content

• Work with the IC team to produce program-specific collateral and website pages

• Update IC graphics and content for organization, program and upcoming event collateral,

working with graphic designer as necessary

• Coordinate the production and distribution of press releases for IC news and

announcements

 

DESIRED SKILLS, EXPERIENCE AND BASIC QUALIFICATIONS

• Excellent attention to detail and ability to efficiently complete data entry and other

critical administrative tasks with a high level of accuracy

• Strong verbal and written communication skills and ability to communicate with external

stakeholders and colleagues in a professional, effective manner

• Highly organized and able to manage multiple projects and priorities

• High degree of initiative, resourcefulness, and sense of responsibility

• Flexible and comfortable with a fast-paced environment

• A positive, can-do attitude and sense of humor

• Ability to work collaboratively with a creative, entrepreneurial team

• Proficient with Microsoft Office suite, tech savvy and quick to learn new tech platforms.

(Experience with Salesforce.com and Constant Contact a plus).

• Undergraduate degree required
